Real Estate Legal Support Specialist

Our client, a well-known global law firm, is seeking a Real Estate Legal Support Specialist to join their high-performing team in Miami. This is an outstanding opportunity for a motivated legal professional with exceptional organizational skills and a keen eye for detail to support a busy Real Estate practice.

Location: Miami, FL | Work Environment: Onsite, 5 days per week
Schedule: Full-time | Overtime as needed
Compensation: $85,000 base + bonus + full benefits package

Key Responsibilities:

  • Draft, edit, and proofread legal documents including correspondence, memoranda, and transactional materials
  • Provide comprehensive support for real estate closings and transactions, including title matters, lien searches, and electronic recordings (e.g., Simplifile)
  • Maintain and organize legal files (both paper and electronic), and track finalized documentation
  • Manage attorney calendars, coordinate travel, and handle time entry, expense reporting, and billing tasks
  • Open new matters, draft engagement letters, prepare audit responses, and assist with document deliveries
  • Interface with clients and internal teams to support attorney needs and ensure compliance with client protocols
  • Collaborate with legal support staff and paralegals to assist with overflow work and special projects
  • Answer and direct incoming calls for supported attorneys with discretion and professionalism

Skills & Competencies:

  • Strong administrative skills, including timekeeping, travel coordination, and invoice processing
  • Exceptional multitasking and problem-solving abilities
  • Detail-oriented and highly organized with the ability to work independently
  • Outstanding written and verbal communication skills
  • Proficiency in Microsoft Office Suite and Windows-based software

Qualifications:

  • Bachelor’s degree or equivalent experience preferred
  • 5+ years of experience supporting a Real Estate department in a mid-to-large law firm
  • Experience with iManage is a plus
