Executive Assistant to Chief Legal Officer – Global Investment Firm

One of the world’s prominent investment firms seeks to hire an experienced Executive Assistant with strong attention to detail to support their Chief Legal Officer. This is a role for a motivated candidate who work well in a team-driven working group, are highly motivated, intelligent, have sound judgment and have demonstrated excellence in prior endeavors.

Salary commensurate with experience: $150-160k base range, discretionary bonus + great benefits, free daily lunch, 401k match, 15 days’ vacation + sick/personal/holidays

Location: Onsite Monday – Friday in Midtown East, NYC

Hours: 8:30am-6pm with a 24/7 mentality as needed

Responsibilities include:
• Managing ever-changing and extremely busy Outlook calendar including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
• Assist with legal documentation, paperwork, filing, editing
• Gatekeeping/answering calls
• Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
• Completion of detailed corporate expenses in Concur including tracking receipts and reimbursements
• Coordinating light travel arrangements including flights, visas/passports, cars, hotels, and other reservations
• Maintaining and organizing files
• Monitoring and maintaining office equipment and inventory supplies

Qualifications:
• 10+ years of Executive Assistant experience  - Legal EA support experience is a must.
• Must have experience supporting General Counsel, CLO, Attorneys/Partners at Law Firms, etc.
• Strong communication skills; high EQ
• Highly organized with strong attention to detail
• Ability to multi-task and prioritize competing tasks and deadlines
• Perform duties with the highest level of confidentiality and professional integrity
• Experience with coordinating travel arrangements
• An independent worker with strong follow-through skills
• Ability to build relationships with key players and management
• Extensive experience with Microsoft Office Suite & Concur for expenses
