Executive Assistant to CEO - Tech Founder

Our client is looking for an Executive Assistant for truly exciting opportunity to support a visionary tech founder, within a pre-IPO start-up environment. This is a truly exciting opportunity to support a visionary tech founder, within a pre-IPO start-up environment / newly created role.


Base Salary: $175K-200K

Responsibilities:

  • Scheduling/Coordination
    • Ensures meetings are a good use of time:
      • Before meetings: requests pre-reads, ensures they are useful and creates space for review
      • After meetings - tracks follow-ups, CTLs on important items directly with stakeholders
    • Protects the calendar and groups things in chunks conducive to flow state of work (i.e. not random 20 min chunks of time throughout the day)
    • Pattern matching skills to learn how long meetings should take
  • Travel
  • Expense Management
  • Inbox Management
    • Learning principal's voice and responding to messages on his behalf
    • Directing inbound messages to the proper recipients
    • Organizing inbox to direct his attention to messages that need his attention
    • Managing principal's LinkedIn inbox
  • Exec Hiring
    • End to end support of the process (to include creating the tracker, keeping it up to date, organizing weekly check in calls, scheduling all interviews, being DRI for next steps, being DRI for sharing materials, collecting backchannels + references.)
  • Time & Energy Optimization
    • Helps track where CEO is spending time towards his goals (e.g. does he spend X hours on Y priorities this week)
    • Serves as accountability partner so CEO schedules week accordingly: ensure he has enough time for the priorities of the week, and align with him on the priorities of the week at the beginning
    • Proactively schedules things for prep time ahead of meetings
    • Keeping track of loose threads from each day and ensure that there’s follow-up from responsible DRIs
    • Optimizes schedule for energy & presence
    • Be one step ahead on CEO's well being - design schedule to optimize for productivity & energy management
  • Exec Onboarding Support
  • Drafting/Editing Materials
    • All Hands decks in particular, BoD decks, fundraising materials
  • Personal Support as needed (varies)
