Estate Manager

An ultra-high-net-worth (UHNW) family in Los Angeles is seeking a highly skilled Estate Manager to join their team. The ideal candidate will bring a wealth of experience in estate management, a strong network of trusted vendors, and a keen eye for detail. This is a unique opportunity to join a dynamic and fast-paced team.

Key Responsibilities:

  • Household Staff Management: Recruit, train, and oversee a dedicated team of household staff. Manage daily schedules, oversee expenses, and ensure operational efficiency.
  • Vendor Relations: Cultivate and maintain a robust network of vendors. Schedule and supervise seasonal maintenance and ongoing upkeep to ensure the estate remains in pristine condition and meets all compliance standards. Facilitate vendor access and monitor progress on repairs.
  • Principal Liaison: Report directly to the principals, providing regular updates on project status, addressing any issues, and ensuring their expectations are met.
  • Project Oversight: Oversee construction and renovation projects from planning through to completion. Ensure projects are executed smoothly, on time, and within budget.
  • Event Planning and Management: Coordinate, plan, and execute events hosted by the family. Manage details such as gift logs, and special occasions including birthdays and holidays.
  • Maintenance Scheduling: Develop and implement routine preventative maintenance schedules. Handle daily, weekly, monthly, and quarterly tasks, and address special maintenance needs as they arise.
  • Property Inspections: Conduct regular walk-throughs of the estate and grounds. Maintain detailed checklists, proactively identify and address maintenance issues, and develop corrective action plans.
  • Documentation and Reporting: Prepare and maintain a comprehensive household manual. Oversee financial aspects including bill management and bookkeeping.
  • Review and provide input on vendor and service contracts.
  • Stakeholder Coordination: Serve as the main point of contact for architects, designers, builders, security, landscapers, and event planners, ensuring seamless communication and project execution.

  • Proven Organizational Expertise: Demonstrated ability to manage complex tasks and multifaceted schedules efficiently, with a track record of maintaining high standards in a fast-paced, high-stakes environment.
  • Exceptional Communication Skills: Outstanding verbal and written communication skills, with a talent for clear and effective interaction with principals, staff, vendors, and other stakeholders.
  • Robust Vendor Network: Established and reliable network of trusted vendors and contractors, with experience in negotiating and managing service agreements and ensuring top-quality performance.
  • Meticulous Attention to Detail: Exceptional ability to oversee and maintain the estate’s condition with a keen eye for detail, ensuring all aspects of the property meet the highest standards.
  • Highly Organized: Strong organizational skills with experience in managing multiple projects and tasks simultaneously, ensuring timely completion and adherence to schedules.
  • Discreet and Professional: Proven ability to handle sensitive and confidential information with the utmost discretion and integrity, maintaining professionalism in all interactions.
  • Effective Problem-Solving: Adept at identifying issues proactively and developing practical solutions, with a problem-solving mindset that addresses challenges efficiently and effectively.
