EA to the Head of Investor Relations – Private Equity

A leading Private Equity firm is seeking an experience Executive Assistant to support their Head of Investor Relations. This role will require the ability to work in a fast-paced, dynamic environment while multi-tasking, project managing, and demonstrating forward thinking. This role engages with all parts of the organization and their investor base, so this individual must be a strong communicator who is collaborative, polished, and poised.

The salary range is commensurate with experience: $125-140k base + 20% bonus + 3 weeks’ vacation, full employer paid benefits package, 401k match

Hybrid role in Midtown NYC - On site 4 days/week (Monday – Thursday), with occasional Fridays

Hours: 8:30am-5:30pm are typical office hours here, but need flexibility

Ideal Candidate:

  • ~5 years supporting C-suite executives ideally in financial services – experience supporting an IR executive/team is preferred ,
  • Thick skin to work closely with C suite Executives
  • Bachelor’s Degree required.
  • Experience managing travel itineraries, meeting planning, and conference calls (including different time zones).
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word) and Outlook.
  • Able to multi-task and pivot / reprioritize as new information emerges.
  • Strong attention to detail and uses discretion with confidential matters.

Responsibilities include:

  • Schedule and coordinate internal and external calls and meetings with high-profile, senior stakeholders in multiple time zones.
  • Prepare materials for these meetings (printing, binding, etc.); PowerPoint and Excel skills will be critical.
  • Prep Head of IR before meetings by ensuring she has proper materials in advance, and check-in after meetings to manage follow-ups / takeaways.  
  • Plan heavy domestic and international travel and transportation for business trips (airfare, visas, hotels, etc.).
  • Coordinate and manage lunch and dinner reservations for investor meetings.
  • Investor Relations Support including organizing Roadshows, inputting/maintaining data in the firm’s CRM, manage firmwide presentation materials, and assist with planning events
  • Run errands as requested
