Executive/Personal Assistant to the CEO

An award-winning design studio & creative agency focused on all things entertainment (Broadway, film and TV) is looking for a dedicated and hard-working Executive Personal Assistant to support their CEO and Head Designer. If you love Broadway and have a knack for organizing an executive in a complex, ever-changing, high-volume environment, this is a great opportunity to work with a prestigious executive and team.

*This is a combination remote and in person role, where you will regularly split your time between working from home and working from the executive's office in Manhattan (typically 1-2 days/week), with flexibility to travel 15-20% of the year (HYBRID)

Salary based on experience: $65k - 80k base (slight flex) + discretionary bonus, 15 days PTO for year 1, 401k and heath/dental/vision benefits

Hours: 10am-6pm, but must have a 24/7 mentality and be available as things come up evenings/weekends



Responsibilities include:

  • Provide administrative and personal assistance to the executive.
  • Provide high-level and professional communication with our business contacts (email correspondence, providing warm and courteous contact, arranging and sending gifts, etc.)
  • Manage the executive’s Google calendar
  • Manage the executive’s correspondence, email inbox, and day-to-day tasks and priorities
  • Attend project meetings with the executive when requested and be responsible for taking notes and communicating information to the project team as needed.
  • Maintain a working knowledge of our clients and collaborators.
  • Ensure the executive is prepared for meetings with all relevant materials.
  • Assist the executive with staying organized and focused with daily task updates and a list of most important things to complete
  • Booking fights, coordinating travel arrangements, and organizing detailed itineraries using the executive's accounts and processing expenses.
  • Handle daily personal tasks including personal shopping, executing special requests, running errands, family


Skills and Abilities:

  • 2-3 years of assistant experience minimum, with previous experience supporting an executive.
  • Strong computer skills: Word, Excel, PowerPoint, Zoom and Google Apps for business
  • Excellent typing and note taking capabilities.
  • Excellent organizational skills: you are hardworking, able to take direction and prioritize tasks while juggling multiple projects in a fast-paced, deadline-driven environment
  • Highly detail oriented and execution focused
  • Communication – must have strong skills, both verbal and written
  • Knowledge of live events and the entertainment industries a plus
  • Previous experience working in a similar position in theater and/or the arts a plus

May be required to travel and/or work outside standard business hours due to events, project deadlines, etc.
