Executive Assistant – Investment Firm

A prestigious real estate investment firm with offices in Union Square NYC is looking to hire an experienced Executive Assistant to support a team of Managing Directors and backup the CEO. This person must be eager to take initiative and excel in a fast-paced environment, and enjoy working collaboratively with another EA in the office.

This role is in-office 5 days a week, 8am to 6pm with flexibility to respond to emails if needed after hours.

Salary commensurate with experience: $100-125k base + discretionary bonus + excellent benefits package

Responsibilities:
• Heavy calendar management in Outlook; scheduling internal and external meetings.
• Serving as the gatekeeper to Managing Directors.
• Moderate to heavy domestic and international commercial travel across all teams (cars, planes, trains, booking hotels, meals).
• Managing expense reports.
• Back-up the other EA who supports the CEO.
• Work on philanthropy events and plan social events.
• Interacting with and addressing the sometimes highly time sensitive needs of very senior people.
• Meet and greet high profile clients for in-office meetings.

Qualifications, Skills & Requirements:
• 5+ years of experience supporting executives, preferably in financial services or hotel concierge experience.
• Bachelor’s degree preferred, or equivalent business experience.
• Previous experience supporting a senior executive in a fast-paced environment.
• Excellent knowledge of MS Office.
• Experience managing a hectic and fluid professional calendar.
• Experience booking domestic and international travel.
• Strong communicator, both written and verbal.
• Proactive, flexible, positive approach to work.
• Organized and detail oriented; works well under pressure.
• Able to prioritize tasks.
