Part-Time Administrative Assistant

Our client, a nonprofit, is looking for a part-time Administrative Assistant! The ideal candidate will be highly organized and detail-oriented. This is an exciting opportunity to join a dynamic and impactful organization!

This is an ongoing part-time assignment that has potential to go permanent down the line if the right fit.

Hours: 9am – 5pm or 10am – 6pm

Schedule: ~25-30hrs/week
*Hybrid schedule (mostly remote but onsite for events)  

• Handle booking (performances, readings, other events) including travel and accommodations for staff and participants, preparing itineraries, and tracking expenses
• Arrange and set up virtual and in-person group meetings
• Organize and coordinate virtual and in-person events in multiple locations
• Provide on-site logistics support for in-person events when needed (including evenings and weekends)
• Perform basic bookkeeping duties, including accounts receivable and accounts payable
• Track and reconcile monthly expenses
• Manage and maintain the Executive Director’s calendar  
• Manage and maintain organizational events calendar
• Coordinate workplans with team members to ensure timely completion of projects and tasks
• Manage workshop registration and attendance
• Communicate relevant logistics information (dates/times, locations) as well as upcoming opportunities (workshops, performances, etc.) in a timely manner
• Collect and organize documents including contracts, grants, invoices, tax documents, etc.
• Provide general support as needed  

• 3+ years of administrative experience
• Experience with Google Suite and MS Office  
• Experience with bookkeeping and financial reporting
• Professional and strong communication skills
• Well-organized and strong attention to detail
• Excellent organizational and time management skills
• Familiarity with these platforms/programs a plus:, MailChimp, Squarespace, DOE Vendor Portal, Zoom, EventBrite, Instagram
