Operations Manager/ Chief of Staff
Our client is hiring an Operations Manager to serve as the Founder & CEO’s operational right hand. This person will fully own executive support, internal project management, scheduling, and follow-ups — and will be responsible for ensuring that internal operations run without bottlenecks. The goal is simple: enable the CEO to focus on decisions and strategy by taking complete ownership of the operational layer.
Location: FULLY Remote (U.S.-based preferred) Remote- Ideally Central Time Zones/ EST
Compensation: $120,000-150,000 base+ bonus + equity
This is not a junior admin role. They are looking for someone who is proactive, highly organized, polished, and able to drive cross-team coordination with minimal oversight.
"This will be more of an Operations Manager / Stealth Chief of Staff hybrid. The right person will be working directly with me, owning internal execution across teams, driving high-priority projects, managing workflows, and helping scale the company’s operating rhythm. They’ll still handle some administrative coordination (calendar, follow-ups), but this is much more about leverage, execution, and internal leadership.
Responsibilites:
- Fully manage CEO calendar, meeting scheduling, and follow-up communications.
- Own administrative workflows, including light recruiting coordination, internal task management, and external vendor relationships.
- Replace and internalize services currently outsourced to operational concierge services (e.g., Chore).
- Manage and track special projects across teams (e.g., event planning, internal process builds, investor updates).
- Create short, structured reports for the CEO summarizing project status and outstanding decisions.
- Drive cross-team communication and project deadlines to completion.
- Constantly anticipate operational needs and proactively create solutions without needing to be asked.
Ideal Candidate:
- 5-8+ years experience supporting a founder, executive, or leadership team at a venture-backed startup or high-growth company.\
- Strong project management skills with a demonstrated ability to manage multiple initiatives simultaneously.
- Sharp, polished written communication — capable of ghostwriting follow-ups and creating briefing notes.
- Extremely organized and systems-minded — able to build workflows that scale with the company.
- High ownership mentality; views problems as opportunities to create leverage.
- Proficiency with common tools: Slack, Notion, Google Suite, CRM platforms. Bonus if experienced with Airtable, Asana, or Zapier. AI Software is #1 Skillset/
