Conference Center Coordinator

A mid-sized litigation law firm is hiring for a proactive, resourceful and eager Conference Center Coordinator for their midtown NYC office. This role oversees the operations and appearance of the Conference Center.

Salary is commensurate with experience: $65-80k base plus paid overtime, bonus eligibility - competitive benefits starting day 1, 401k with contribution, PTO
Onsite/Hybrid - For first 90 days, this role will be onsite Monday - Friday for training/ramp up period

Hours: 8am-4pm in office Monday – Thursday and every other Friday

Responsibilities include:
• Supervises the scheduling and coordination of meetings and events held at the firm, ensuring that everything is organized and ready before and after meetings.
• Oversees the physical appearance and function of the Conference Center, coordinating with relevant operations team as needed, including Facilities, Catering and IT
• Assists with Zoom and A/V set-up
• Serves as the point of contact for all visitors, Conference Center users, and client requests and direct clients and partners to rooms.
• Reserves conference rooms and spaces, and coordinates all associated services and needs (e.g., food/beverage, audiovisual, facilities, signage, materials)
• Answers telephones, takes messages with accuracy and handles or refers questions and requests
• Understands the firm’s emergency procedures and is prepared to carry out designated tasks in the event of a fire or other emergency
• Maintains the attractive, neat appearance of the Reception area
• Performs other duties and special projects as requested


Qualifications:
• 2+ years of relevant conference center, office services, reception or reception experience in a law firm or professional services firm
• A flexible problem solver, self-directed, customer service oriented, and collaborative
• Strong written and verbal communication skills
• Organized and detail oriented
• Ability to self-motivate, motivate others, be resilient and a strong team player
• High touch approach, customer service focused
• Strong interpersonal skills with polite, positive manner and ability to interact effectively with a broad range of people
• Maintain high-level of professionalism and competence when dealing with clients.
