Executive Assistant/Operations Coordinator
A Global Advisory firm is actively recruiting for a high-caliber, bright and experienced Executive Coordinator to act as a right hand to a Partner /Head of their NY office. In this incredible role, you will have the opportunity to form true partnerships with leaders within the firm and be a key player in ensuring the Executive's initiatives are on track. This will include providing excellent day-to-day support, ensuring important meetings, materials, deadlines, travel and details are executed as well as handling operational objectives and projects to support the NY office.
This is a very dynamic role. This role 5 days/week onsite located in midtown Manhattan
Responsibilities
- Complex calendar management and meeting coordination for Executive
- Prepare materials, draft documents, take meeting minutes, and follow up on action items
- Act as a true business partner in driving initiatives forward on behalf of the executive
- Plan and schedule frequent domestic and international travel itineraries for the Executive
- Track expenses and prepare corresponding reports
- Maintain and develop relationships with external client contacts and internal stakeholders
- Collaborate with the broader administrative team on process improvements and streamlining workflow
- Manage and track ongoing projects assigned by Office Manager and Executive
Qualifications
- 5+ years of administrative support, including operational and strategic support
- Proficiency in MS Word, including Excel, PowerPoint, and Outlook
- Bachelor’s Degree preferred
- Ability to multitask and prioritize in a fast-paced environment
- Entrepreneurial mindset and ability to work independently
- Excellent written and verbal communication skills
- Experience in project management and relationship management
- Strong detail-orientation and organizational skills a must
- Ability to proactively collaborate with team members but also solve problems independently
- Highly motivated, self-starting approach to all tasks
