Office Services Coordinator
A leading Private Equity firm is hiring for an Office Services Coordinator to assist with the day-to-day facilities of their beautiful, high-end office. This is a great opportunity for a proactive, trustworthy, and eager candidate who enjoys this type of work.
Salary commensurate with experience: $60 - 73k base range + paid overtime, discretionary bonus and fully paid benefits, 401k match, strong PTO package
Hours: 8:30am-5pm
This is an onsite Monday – Friday role in Midtown East, NYC. There are typically between 30-50 employees in the office.
Qualifications:
• Open to experience level/ entry level is okay
• Someone who is low-ego and enjoys this facilities/office services work – “no job too small” attitude and happy to help
• Must have strong verbal and written communication skills
• Comfortable in a business professional corporate, yet friendly culture
• Microsoft Office Suite, including Word and Outlook
• Someone very trustworthy, proactive, and can really take ownership of the role
Responsibilities include:
• Stock internal kitchen for employees
• Help with Expenses in Concur (will be trained on this)
• Getting mail/packaging
• Helping conference room coordinators
• Receiving the office supplies/stocking and ordering/stocking refreshments
• Run down to pick up packages, or run to FedEx, or run to the loading dock to help with a catering order
• Printing & binding
• Helping to clean up the conference rooms after meetings – they have formal silver cutlery, so someone who can throw those in the dishwasher, etc.
• Reports into the Director of Office Services who is based in their HQ in Chicago – he’ll have a NY presence to help train this person, but need someone who can work autonomously when needed
• Occasional internal office & workstation moves
• General office-facility management
• Placing requests in the Building work order system
• Assist IT Department, Executives & Executive Assistants with projects
