TTP Office Manager

Our client, a well-known Surgical Center, is seeking a Temp-to-Perm Office Manager to join their team ASAP in their Miami Design District office.

This position is on-site Monday - Friday. The ideal candidate will be driven, and a self-starter who will require very little guidance.


Responsibilities:

  • Greet and welcome visitors in a friendly and professional manner.
  • Receives mail, documents, packages, and courier deliveries and distributes items within the office
  • Maintain organization of common spaces, such as conference room, pantry, and supply closet
  • Assists with scheduling and coordinating meetings and company events
  • Acts as a liaison for all external vendors: cleaners, technicians, and assists with vendor invoices and provides other ad hoc support
  • Maintaining inventory of all office supplies, snacks, and other necessary items and reordering when necessary
  • Run all errands for the office, including replenishing office supplies, cutting keys, dropping off mail, and any other as required in daily operations.
  • Assist with general administrative tasks, such as filing, data entry, and record keeping
  • Complete any necessary scanning, copying, or organizing of documents.

Skills:

  • Ability to maintain high levels of confidentiality, accuracy, and attention to detail
  • Strong written and verbal communication skills
  • High level of proficiency in the use of MS Office 365 Outlook & Word
  • Basic level of proficiency with Excel , PowerPoint, Teams, and Zoom
  • Experience with SharePoint & OneDrive preferred, but not necessary
  • Ability to prioritize and manage multiple tasks simultaneously to meet deadlines
  • Must have transportation to be able to run errands for the office as necessary
