Personal Assistant

The Personal Assistant to Owner & Office Manager is responsible for overseeing both personal and some business-related matters of Ownership and working with Executive Assistant and Owner to manage all operations of the owner’s various businesses. The key goals are to provide optimal support to Ownership and optimize the overall efficiency and organization of his personal life and business matters. Constant attentiveness to ownership’s requests is of paramount importance.



PRIMARY DUTIES & RESPONSIBILITIES:

  • Transcribes and drafts letters and documents from Executives.
  • Manages and maintains the owner’s appointment schedule by scheduling meetings, teleconferences, and travel.
  • Manages daily progress report, listing current and pending tasks and items of importance.
  • Administers owner’s finances and accounting. This also includes maintaining and organizing accounting records.
  • Performs various miscellaneous tasks for ownership, including purchasing various household and personal items and conducting personal errands as requested.
  • Oversees all household needs, including organizing private household events.
  • Greets and receives visitors in Office.
  • Administers payment of ownership’s household staff.
  • Responsible for overseeing general office maintenance.
  • Involvement in public relations requests and updates and maintaining press kit.
  • Responsible for all operations and functions, including but not limited to overseeing captains and the functionality of boats, organizing yacht charters, and maintaining the financial records for the entity.
  • Assists Executive Assistant in maintaining relations with clients and persons and organizations working in partnership
  • Assists with the financial management. This includes the production of invoices, collecting payments, and reconciling billings with the bookkeeper. This also includes tracking monthly, quarterly, and annual sales. Production of sales comparison reports as needed.
  • Ensures proper maintenance and condition of all art on exhibition and owner’s private collection.
  • Maintains owner’s confidence and protects operations by keeping information confidential.
