Executive Assistant to C-Suite Team

Our client, a leading industrial real estate firm located on the West Side of Los Angeles, is looking for a proactive and experienced Executive Assistant to provide comprehensive support to their C-Suite team. As the primary representative for the C-Suite, you will manage both internal and external communications, serving as a gatekeeper for phone calls and emails. Your responsibilities will include overseeing the executives' calendars, scheduling appointments, meetings, and conference calls, as well as handling travel arrangements and preparing detailed itineraries. The ideal candidate should be adaptable and proactive, capable of thriving in a fast-paced and dynamic environment.



About the Role:

-Act as the primary liaison for the C-Suite, representing them both internally and externally.
-Manage and prioritize incoming communications, including phone calls and emails.
-Coordinate and maintain the executives' calendars, ensuring efficient scheduling of appointments, meetings, and conference calls.
-Arrange travel logistics and prepare comprehensive itineraries for business trips.
-Create and distribute agendas for meetings, ensuring all necessary information is included.
-Handle expense reporting and reimbursement processes, maintaining accurate records and ensuring timely submissions.
-Take charge of special projects as required, providing support and coordination as needed.
-Provide general office support, including maintaining filing systems and managing office supplies to ensure smooth operations.


About the Candidate:

-Bachelor's degree required.
-Minimum of 5 years of experience providing high-level support to C-level executives.
-Proven ability to manage multiple projects concurrently while adhering to tight deadlines.
-Highly skilled communicator with exceptional writing abilities.
-Exceptional attention to detail and accuracy.
-High degree of discretion and strong decision-making skills.
-Adaptable, motivated, and proactive work ethic.
-Mastery of Microsoft Office suite (Outlook, Word, Excel etc.)
-Experience with CRM software preferred.
