Compensation: $100k - 125k

Role Description

Top VC firm is seeking an experienced administrative professional to ensure our daily office operations run smoothly, while also ready to take on additional projects as needed. From the date of hire, this position is hybrid in our SOHO office.


Responsibilities

Office management

• Serve as primary contact for building management, and supply vendors

• Maintain overall appearance of the conference room, pantry, and other shared spaces

• Maintain inventory of office supplies, snacks and drinks; stock pantry daily; maintain espresso machine

• Coordinate daily lunch order for the team

• Manage conference room bookings, all incoming guests, and catering for meetings


Research Team Support

• Extensive calendar management and meeting planning for team of 10, ranging from Associate level to Managing Director

• Detailed domestic and international travel arrangements, including flights, hotels, conference registration, and ground transportation, working with tight schedules

• Zoom license manager, allocating zoom links as needed, and reconciling conflicts

• Aggregate and submit conference one-on-one meeting requests for the research team; reconcile conflicts and add meetings and zoom links to calendar

• Responsible for employee birthday celebrations, employee gifts and corporate events

• Other responsibilities and interesting projects, as needed


Job Requirements & Competencies

• Demonstrated success supporting a large team, preferably in tech or financial services

• Experience with heavy calendaring, frequent changes, and complex domestic and international travel

• Comfortable leveraging contacts and engaging in creative problem solving

• Project management skills, including ability to manage competing priorities and effectively multi-task

• Excellent written and verbal communication skills

• Strong attention to detail, with proven self-review processes for consistently producing error free work

• Self-directed, with ability to anticipate needs and independently identify and resolve potential issues

• Proficient in Microsoft Office
