Executive Assistant/Paralegal $85-120k + Bonus

A forward-thinking, mission-driven, real estate start-up is seeking an proactive, hungry, and detail-oriented EA with legal experience to support their Executive partners and assist with contract management, real estate closings, and timeline and project management.

This is an amazing opportunity to join a Mission-driven firm from the ground level and work cross functionally with Sr. leadership to grow the firm.

The role will be in the office five days a week in midtown and requires flexibility to answer emails after hours if/ when needed.

Executive Assistant duties:
-Coordinate all travel logistics, itineraries, bookings, reservations, details and expenses
-Manage all schedules and calendars for the Founder and EVP and additional Sr. leadership using Microsoft programs
-Draft correspondence and communications as needed
-Sit in on meetings, take notes, handle action items and follow-ups
-Manage email inbox and highlight priorities, manage executive's time by screening inquiries and handling preps before calls
-Assist with prep for weekly agendas and team meetings, CRM management
-Handle ad-hoc office tasks
-Assist with ad-hoc projects, presentations as needed
-Light personal work as needed

Paralegal Duties
-helping to organize and keep track of planning and zoning applications, making checklist, following up on deadlines and dates
-putting together electronic applications, printing and gathering everything for presentations, tracking down the people you need items/signatures from
-getting things notarized
- being the gatekeeper of dates and deadlines for closings, deal packets etc
-acting as a project manager, keeping the train running on time

Who we are looking for:
• Real estate paralegal/legal assistant/ contracts administrator experience ideal
• Administrative experience handling calendar management and gatekeeping
• Hungry and proactive attitude, who takes initiative, wants to learn and grow
• Must be confident, well-spoken and possess great communication skills to be able to liaise via email and on phones with contacts
• Must be comfortable in a Start-up culture, - everyone works hard here, there is a lot of opportunity but needs someone who is ready to hit the ground running and super organized
• Someone who has high standards, and incredible attention to detail
• Tech savvy and experienced on Microsoft office
• A strong communicator, confidence in making decisions, and maturity to deal with internal and external stakeholders and maintain confidentiality and discretion
• Positive attitude, upbeat, and excited about working in a mission driven culture
