Executive Assistant

A leading Venture Capital Firm is seeking a team-oriented Executive Assistant to provide administrative support to a few Partners on the Investment Team and co-manage the office. The ideal candidate is a quick learner, strategic thinker and takes pride in their work.  

Salary commensurate with experience – $95-105k base range + paid overtime, bonus, fully paid benefits, generous PTO, 401k

Location/Hours: On-site 5 days/week in Boston, MA (Back Bay neighborhood), working 8:30am-5:30pm

Experience required:

  • 5-7+ years of EA experience – venture capital or private equity experience a plus, not required
  • BA/BS degree required
  • Strong team-player attitude
  • No job too small mentality
  • Excellent sense of judgement
  • Strong written and verbal communication skills
  • Ability to work in the office Monday – Friday

Responsibilities include:

Administrative Support (for two team members)

  • Provide administrative support, including the following:
  • Schedule calls and meetings
  • Book flights, hotels, car service and other travel logistics
  • Assist with scheduling and planning quarterly board meetings and associated logistics
  • Plan and execute board meeting logistics on-site when hosted in Boston
  • Assist with logistics related to the firm’s annual investor meeting and other events
  • Schedule bi-weekly pipeline meetings and make reservations for team dinners as needed

Office Management (co-managed by two Executive Assistants)

  • Manage Reception, including the following responsibilities:
  • Serve as a friendly and professional first point of contact for office guests
  • Greet office guests, provide direction and offer refreshments
  • Work with building security to book meetings in the shared conference room and other requests
  • Set up video conferences or screen mirroring as needed for meetings
  • Work with IT team to make sure office technology is functional
  • Manage vendor relationships for office services and deliveries
  • Order, organize and re-stock office supplies, including kitchen, snacks and bathroom supplies
  • Load, run and unload the dishwasher on a daily or as-needed basis
  • Pick up and distribute the mail daily
  • Coordinate food delivery to the office for mealtime meetings
  • Take responsibility for setting up and cleaning up after meals, meetings and activities
  • Make sure the office is always presentable and neat, and schedule deep cleanings as needed
