Personal Assistant/House Manager

A friendly, dynamic, and successful executive is seeking an experienced and warm Personal and Executive Assistant as well as House and Estate Manager with meticulous attention to detail. Her ideal candidate is systems and process oriented, high-energy, upbeat, extremely organized, tech savvy, thorough and proactive. This role will be responsible for full schedule, calendar and travel for the family and Principles’ business and philanthropic ventures, household management, and the family’s day to day needs.

***This role is hybrid and based in the Peninsula.***

- House and Estate Management:
- Maintain primary Peninsula home at the highest standard
- Manage upkeep and day to day needs for Northern California Property
- Be a warm and gracious manager for staff including the chef, nanny, housekeepers, dog walker and other vendors
- Ensure households are always organized and decluttered, maintain neat and organized closets for all family members
- Ensure property maintenance and repairs happen swiftly and thoroughly
- Vendor Management: negotiate terms, confirm insurance, supervise work, ensure completion in timely manner
- Invoice management: ensure all bills and invoices are paid on time
- Finetune, implement, streamline, and manage operational manuals for the residences
- Create and maintain household supplies inventory
- Assist with package management, outgoing packages, and returns
- Assist with any ad hoc home improvement or repair projects

Executive Assistance:
- Manage a complex calendar, schedule appointments/meetings and be a warm and gracious counterpart to all business contacts
- Field phone calls and email requests for meetings and coordinate various aspects of communication as necessary
- Assist with ad hoc projects and events as needed
- Ensure timely communications and handling confidential information
- Instrumental in support for Principals investments, advisory/board work, and foundation

Personal Assistance:
- Coordinate personal appointments and manage personal travel/vacation arrangements and calendar for family
- Ensure household and personal records and finances are in order, maintain family file of contacts, birthdays etc.
- Send thoughtful gifts for family / friend birthdays, help prepare for family holidays (Thanksgiving, Christmas etc.)
- Vehicle maintenance, registration, make sure cars are always clean and organized
- Help organize and host small and larger events (birthdays, dinner parties, barbecues etc.)
- Ensure family dogs are well taken care of; manage dog walker, feed and walk dogs as necessary, maintain reliable calendar of vet appointments, drive dogs to vet if dog walker not available
- Assist with shopping and returns
- Run errands (prescriptions, dry cleaning etc.) perform research, assist with projects and organization, carry out miscellaneous requests
- Assist with activities and appointments for child

- At least 5 years of prior Personal Assistant and Home Management experience
- Confidentiality and discretion are required
- Ability to manage a team and interface in a friendly and professional manner with all staff and vendors
- Team player with a can-do attitude. Proactive and ability to follow direction well.

$130,000 - $150,000
