Executive Assistant, Foundation – Global Financial Firm
A global investment firm is looking to hire an Executive Assistant to support the Head of their Foundation arm, along with some support to other teams across the firm. This is a great opportunity for a professional assistant with a few years of experience supporting executives in financial services or foundations/nonprofits.
Salary commensurate with experience: $100-115k base + paid overtime + discretionary bonus & fully paid benefits, 401k match, free lunch, generous PTO package and other perks
Location: 4 days/week in office (remote Fridays) in Midtown East NYC working standard office hours, flexible as needed
Responsibilities:
- Maintains executives’ calendars by planning and scheduling meetings, conferences, teleconferences, and travel.
- Arrange air and ground travel and hotel bookings though both internal and external agents.
- Book meeting rooms and offices and extend hospitality for visiting executives relative to your department.
- Organize files and presentations with exceptional attention to detail.
- Complete expense reports online by collecting all boarding passes, bills, hotel invoices, etc., ensuring information is accurate and complete.
- Assist with specific personal tasks when asked to help facilitate executives’ day to day efficiency and effectiveness.
- This role will support: The Global Head of Foundation and other teams as necessary.
Qualifications:
- At least 4 years of EA experience supporting at least one executive in a professional service organization
- Experience in the Financial Services industry preferred, prior work experience at a nonprofit organization or foundation is a plus
- Superior experience and competency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint; strong comfort level with technology and readiness to learn other internal software tools
- The ability to multitask, work under pressure and think critically
- Thoughtful business judgment and professional maturity
- Desire to collaborate with colleagues throughout the firm globally
- Excellent written & oral communication skills
- Collaborative team player – energetic, enthusiastic, positive, and personable
- Positive attitude, intellectual curiosity, and demonstrated passion for service to colleagues and community
